A worked example of a clear quote
The following is a fictional layout for Northline Installations, used throughout this guide to make the process concrete. It is an operational example, not a complete contract. Amounts are illustrative currency units before applicable tax; use the legally required price presentation in your market.
Home office built-in storage
Quote N104, version 2. Prepared for Jordan Lee after the agreed survey. This version replaces version 1. The validity date and any provisional installation window would appear prominently on the real document.
What you want to achieve. Create closed storage along the office wall while keeping the desk area clear and leaving access to the existing outlets.
Included work. Supply and install three storage units to the dimensions in drawing A2, with the specified white finish and handles. Protect the working area, assemble and secure the units using the agreed method, adjust doors and drawers, remove our packaging and complete a handover inspection with you.
| Included item | Price |
|---|---|
| Preparation and protection | 800 |
| Units and specified materials | 3,300 |
| Installation and adjustment | 2,500 |
| Final checks and handover | 600 |
| Project coordination and procurement | 800 |
| Total before applicable tax | 8,000 |
Optional change. The alternative oak finish adds 400 before applicable tax. It is not included in the base total. Selecting it requires an updated order confirmation and may change supplier availability.
Not included. Moving or adding electrical outlets, repainting the entire room and removing the existing freestanding furniture. You will arrange furniture removal before installation unless we agree and price that work separately.
What the price assumes. The agreed access route is available. The relevant wall condition and fixing method are confirmed through the assessment process. The selected materials remain available when ordered. If a material assumption changes, we will explain the effect before asking you to approve revised work.
Notice what the quote does: it links the price to a specific version of the project. The customer can compare the scope with another proposal without having to infer what “complete installation” means. The team can also use the same description when preparing the job.
Complete the quote with the decisions it needs
The second half of the fictional Northline quote answers the questions that often arrive after the customer says yes.
Timing. Installation takes an estimated four working days with the planned crew, subject to the stated conditions. A proposed week is provisional until the agreed acceptance steps, supplier confirmation and scheduling checks are complete. The customer receives a written confirmed booking when those conditions are met.
Customer preparation. Clear the agreed work area, make the access route available and identify any restrictions on parking, deliveries or working hours. Tell us about changes before the start date so we can assess their effect.
Payment. The actual quote sets out the agreed lawful payment amounts, due events, due dates and payment method. Each stage corresponds to a defined event. The example deliberately does not prescribe deposit percentages: these depend on the work, local rules and commercial arrangement.
Changes. If you request a different finish, additional units or other work, we will describe the change and any price or schedule effect. The authorized person approves it through the agreed method before the changed work proceeds, subject to the contract and any immediate safety obligations.
Questions and acceptance. Please review drawing A2, the scope and the selected finish. Contact your named project lead if anything differs from what you expected. Acceptance must identify the agreed version and follow the acceptance process described in the terms.
The internal check before sending
Northline keeps its internal cost calculation separate from the customer quote. In this fictional example, estimated direct job costs total 6,000 against the 8,000 selling price. The 2,000 remaining is before overhead and other costs; it is not net profit.
The person approving the quote checks the costs, specification, unknowns, supplier assumptions, capacity and consistency between the drawing and the written scope. They also check that the quote has reached the correct customer and that obsolete versions are clearly superseded.
Use the example in your own trade
A planner would replace drawings and units with deliverables, supplier responsibilities and the event schedule. A mover would specify inventory assumptions, access, packing, waiting time and storage. An agency would define deliverables, feedback rounds, client inputs and approval dates.
The useful structure is the same: the customer can understand the result, the work, the boundaries and the next decision. Your specialist terms and local requirements still need to fit the actual service.
