Messages for the first inquiry
Adapt these to the situation and your actual promises. Replace every bracketed field. Use the customer's appropriate contact channel and avoid repeated messages once they have answered.
Acknowledge a new request
Hi [Name], thanks for the details about [project]. We have received your inquiry. [Person or team] will review it and respond by [realistic window]. If you need to add anything, you can reply here.
An automatic message should identify itself as an acknowledgment. Do not imply a human has assessed the project already.
Ask for missing information
We can help with [relevant service]. Before deciding the best next step, could you confirm [specific detail]? It affects [brief reason]. If it is easier to explain by phone, we can arrange a short call.
Ask for the information needed now. Avoid sending a full questionnaire when one answer will decide whether the project fits.
Explain a budget mismatch
Based on the scope you described, the budget would need to cover [main cost drivers]. The current range is unlikely to support all of that. We could explore [feasible reduced scope], or I can explain what would need to change.
Use a price range only when you have a sound basis. Do not invent a low starting figure to keep the inquiry alive.
Confirm a conversation
We are booked for [date and time] to discuss [project]. We will cover [purpose]. It would help to have [simple preparation]. If the time no longer works, let me know through [route].
Recap the discussion
My understanding is that you want [outcome], with [key constraint]. You will send [information] by [date]. We will then [next step] by [date]. Please correct anything I have misunderstood.
Decline respectfully
Thank you for considering us. This project needs [capability or condition] outside what we can currently provide. I wanted to tell you promptly so you can find a provider who is better equipped to help.
Only recommend another provider if you have a reasonable basis for doing so. You can decline without making a referral you cannot stand behind.
Messages that move quotes toward a decision
These messages have distinct purposes. Choose the one that fits the current situation; do not send all of them automatically.
Send the quote
Hi [Name], here is quote [reference and version] for [project]. It covers [brief scope]. The main point to review is [important choice or assumption]. You can reply with questions, and we can talk it through if useful. As discussed, [agreed next step].
Check receipt
I sent the [project] quote to [address] on [day]. Has it reached you? If not, I can resend it or use a more convenient format.
Clarify before the agreed decision date
You mentioned reviewing the [project] proposal around [date]. Is there anything about the scope, timing or options that would help you decide?
Respond to a price concern
Thanks for telling me. Is the main difficulty the total budget, or how this compares with another option? That will help me explain whether there is a useful scope adjustment.
Record a postponement
Understood. Would you like me to check back in [agreed period], or would you prefer to contact us when you are ready? We will confirm current pricing and availability at that point.
Close an unanswered quote
I have not heard back, so I will close this quote in our active list for now. If you decide to revisit the project, you are welcome to contact us and we can confirm the scope, current price and availability.
Acknowledge a decline
Thanks for letting me know. I will close the project and stop the follow-up. I appreciate you considering us.
Before sending, check the latest customer reply, quote version and status. Remove any message that no longer serves a purpose. The customer should never have to explain that they already accepted, declined or asked you to stop.
Messages for delivery changes and payment
Use these as operational examples. Payment and change messages must reflect the actual agreement and applicable requirements.
Confirm the next stage after acceptance
Thank you for confirming [quote and version]. Your next step is [action]. We will [our action]. [Name] will coordinate the project and confirm [date or outstanding dependency]. Please use [route] if anything changes.

Acknowledge an extra request
I have recorded your request for [change]. We will check the work involved and the effect on price and timing before confirming it. Please wait for the revised details before treating it as part of the agreed scope.
Send an invoice
Attached is invoice [number] for [agreed work or milestone], showing [amount] due on [date] under our agreed terms. Payment instructions and the reference are included. Please let [contact] know if anything needs clarification.

Every promise in these messages needs an owner. Templates save writing time; they do not remove the responsibility to do what the message says.
